Posting a Job with Headlight Freight

Headlight Freight makes it easy to create new job postings for common carriers to bid on, collect and review those offers, and then easily select your preferred bidder all in one place.

Posting A Job

There are two ways to post a new job: by either accessing Headlight Freight directly in the top left corner and creating a new job from scratch, or by clicking the Post Job button from the planned loads screen to have the route info pre-filled automatically.

Probably the easiest way to post a new job is from the Planned Loads screen. Once you have routed an order and committed it to a manifest, click into the Planned Loads section. Once there, click the Post Job button to have any common carrier route automatically loaded into Headlight Freight to post the new job for bids.

You can also create a new job from scratch by clicking into the Headlight Freight portal in the top left corner of the Build My Loads screen. Once in Headlight Freight, click New Job on the left to get started.

Route

When building a new job in Headlight Freight you will first review the Route section. If you post this job from the planned loads screen, this info will be pre-filled. You will confirm the pickup location, and delivery stops, and then click create stops. Click Next to confirm the job timeline.

Timeline

From the timeline tab select when the bidding ends, specify the delivery deadline, and adjust the pickup window if needed. Once complete, click Next to confirm the route details.

Details

Review and confirm the route details to be included in the bid. Again, if you posted this job from the planned loads screen, this info will be pre-filled. Easily make any changes needed to the weight, width, length, and any special instructions for the driver. Once reviewed and ready to move on, click Next.

Bidders

Select or create email groups of drivers to message for bids, or create a new bidder contact to add to the list. Once you have added the appropriate email group or contacts, click Next to proceed.

Post Job 

The final step to post the job is reviewing the final bid info. Within the general info section, you can edit the job name, edit the purchase order #, and view the manifest as a PDF. Below that in the bidding options section, you can select whether to show the lowest price to bidders and include a win-it-now price to display in the job posting. When you are ready to post the job, click Finish to continue.

Okay to Create Job?

You will be prompted to review the job posting details one final time, click the checkbox at the bottom to confirm you have reviewed the bid requirements and that they are complete and correct.

Once selected, click the Post! button to finalize the job posting.

Currently Accepting Bids

You will then be taken to a view of the new job posting that displays the basic details as well as the current bid status and bid history. 

Click on the moderate job dropdown to repost the job, edit the details, add bidders, or send a reminder message to the current bidders.

Bidder Email

The email below is what the selected bidders will see when you invite them to bid on a job.

Bidders simply click on the View Job button to get started.

Bid on the Job

Once selected, drivers will be taken to the job view where they can review the specifics on the left, and input their bid details on the right. 

The auto bid minimum can be entered to improve a driver’s likelihood of getting the job as our most successful bidders use the auto bid feature frequently. If a driver is underbid, the auto bidder will automatically decrease the driver’s bid price in $1 increments until they are the winning bid, or the auto bid minimum is reached. 

Once complete, they simply click on the Place Bid! button to submit their offer.

Afterwards, the driver will be required to click two final checkboxes to confirm they have reviewed and can meet all job requirements, and will cancel the bid if they are unable to fulfill it.

Lastly, the driver will click the Bid! button to complete the bid submission process.

Select the Winning Bid

Once you are ready to select the winning bid from a posted job, click on My Jobs from Headlight Freight. You will see current open jobs as well as your job history, select the desired job on the left to review. You will see the load details and current bids.

Click Moderate on the far right to select your bid of choice.

Moderate Bids

Once you click the Moderate button you will see the Edit Bid window. You can specify the Bidder Confirmation Deadline by entering a deadline for the bidder to confirm the load. The bidder will be required to confirm the load via Headlight by the specified time, and once set, the Bidder Response Deadline cannot be changed.

Confirm Load on Behalf of Bidder

You can also click the check box to Confirm Load on Behalf of Bidder and skip the confirmation deadline step. When checked, the bidder will not be required to confirm the load. This option should only be used if you have already confirmed the load with the bidder, or intend to do so via other means of communication.

Click Save once you are ready to confirm your bid selection.

Job Fulfilled

You will then be able to see the job has been fulfilled, the accepted bid’s status, and now a section for you and drivers to upload captured proof of delivery files and photos.

Driver Confirmation

On the driver side, they will receive a confirmation email with easy access to their Headlight Freight portal where they can review the load details, and upload POD files or photos as needed.
