How to Use the Driver App

The Headlight Solutions Driver app allows you to easily monitor your driver's status in real-time while providing your drivers with a simple way to execute the route optimally, collect proof of deliveries, and more.

Assign a Driver

After you have created routes out of orders that need to ship and assigned them manifests, finalize the route by assigning a driver in the Planned Loads section. Click the drop-down in the manifested route to assign a driver. 

The driver will then automatically have the assigned job loaded onto the driver app.

Customer Notification Emails

Headlight can set it up so that the customer will automatically get a notification email stating that their delivery has been scheduled and includes a link they can click to view more details about that delivery.

You can also send the driver a notification email that includes the planned departure time and a digital cover sheet of the planned route.

Log In

When the drivers log into the app the next day, they will log in using the credentials that we've provided for them.

This is typically the company email and a standard default password we assign to their profile. Once logged in they can change the password and should be able to see all assigned jobs without any additional setup. 

Enable Location Services

Be sure that drivers also enable all location services when using the app to use tracking updates and customer notifications.

Completing Tasks

First, the driver would click on the New section in the top left of the app. There they will see the route’s specified sequence of deliveries.

To begin, the driver would click En Route on the first stop at the top of the list. Once the driver is en route, the GPS will begin tracking their location.

As the dispatcher, you can view the driver’s location in real time from the Delivery Status section of Headlight Solutions. 

When a driver is en route to the customer, the customer would receive a second email notification stating that their delivery is on the way with a link to view the live turn-by-turn delivery status of the driver.

With a real-time ETA, the customer can prepare for the arrival of the delivery and help expedite the entire delivery.

Arrived at Location

Once the driver arrives on location, the app will automatically mark their arrival in the app. The drivers can also mark themselves as Arrived at the location if the GPS doesn't automatically detect them. 

Collect Proof of Delivery Documents

Once on-site, there are additional tasks that the driver can also perform by clicking on the orange task link in the app. 

Through this link, drivers can confirm order quantities, view delivery instructions, add deposits or product returns, leave comments, and collect customer signatures.

If multiple orders are being delivered to the same customer, each order will be displayed one at a time. The Delivery Instructions will display first, with the Order Item’s quantities displayed below to confirm. 

Use the arrows to change the quantities as needed, or you can also click into the field to type in a different amount.

Next, drivers mark any deposit or product return quantities and add general comments related to this order. 

Collect a Signature

The final step is collecting a signature from the customer which can be captured through the app by signing directly with the driver’s tablet or phone. 

Collect Photos

The driver can also collect photos of any deliveries if there is a damaged item or a questionable situation that should be stored in the PODs section.

From the Tasks section, the driver would click the orange on-site actions button to take a photo.

Once collected, this will be stored as a digital proof of delivery that the dispatcher can access from the Planned Loads and Delivery Status sections by clicking on the PODs button and viewing any images or documents associated with that order.

Mark the Job Completed

Once the driver is ready to move on to the next stop, the driver would click the on-site actions button and click Mark Completed.

Then the driver would select En Route to the next stop and simply continue in this way until all tasks have been completed and ultimately returning to the warehouse at the end of the day.

Put a Task on Hold/Cancel

The driver can also click the three dots next to On-Site Actions to put a task on hold or cancel it. 

In the Delivery Status section, you can view collected proof of deliveries, and the driver's copy of the digital cover sheet.

You can also see real-time driver status by clicking the + icon for each route. Monitor a driver’s projected ETA for future stops to ensure timely deliveries.
