📝 How to Review Order Data in Headlight

To ensure your order data is displaying accurately in Headlight, we recommend selecting 5–10 current orders and comparing them side-by-side with the same orders in your ERP system. This review helps validate that key fields are formatted correctly and that routing, planning, and dispatching will operate smoothly.

✅ General Order Data

Customer Names

  • Are customer names formatted as expected?

  • Is there any extra info in the name field that shouldn’t be shown?

Customer Addresses

  • Are addresses displayed correctly and consistently?

  • Do orders appear in the correct geographic locations on the map?

Ship Dates

  • Are all expected orders (Sales, Purchase, Transfers, etc.) present for the selected date range?

  • Do the expected ship dates match what’s shown in your ERP?

  • Are there any orders that should be excluded or filtered out?

Order Remarks / Notes

  • Notes are intended for dispatchers, not drivers.

  • Are any useful notes missing?

  • Are there any irrelevant or excessive notes that should be cleaned up?

Total Order Weight

  • Is the total weight calculation accurate?

  • Confirm weight is correct across product types, truck types, and order configurations.

Pallet Count

  • For non-bulk items, is the total pallet count calculated correctly?

📦 Order Line Item Data

Accessed by clicking the clipboard icon on the right side of an order tile.

Line Item Details

  • Quantity: Are piece counts correct?

  • Description: Are descriptions complete and accurate?

    • Is there any missing or excessive detail?

  • Weight: Are the line item weights correct?

  • Pallet Count: For non-bulk products, are pallet counts accurate at the line level?

🕒 Delivery Windows & Times

Delivery Windows

  • The default is usually 7:00 AM – 4:30 PM unless updated manually in Headlight or via ERP integration.

  • Is this window appropriate? Would a different timeframe (e.g., 6:00 AM – 3:00 PM) work better?

Delivery Times

  • Defaults:

    • Pickup: 40 minutes

    • Delivery: 20 minutes

  • Are these assumptions accurate?

  • Would custom timing (e.g., pickups: 15 minutes, deliveries: 90 minutes) better reflect your operation?

🚚 Ship Rules & Hazmat Codes

Ship Rules (Trailer Restrictions)

Used to match orders with trucks that meet specific requirements.

  • Are all required ship rules present at the order and line item levels?

    • Examples: tanker, lift gate, flatbed

Hazmat Codes

Used to prevent incompatible products from being shipped together.

  • Are hazmat codes correctly applied?

  • Are all relevant hazmat codes shown for orders that include multiple classifications?
