How to Assign a Manifest

When assigning a manifest to a route in Headlight Solutions, you will first need to select the orders to be routed, apply any filters, and then route the orders. You can route the orders yourself using  Manual Routing Mode, or by using our AI-assisted routing in Optimized Routing Mode. You can toggle between the two options by clicking the Route Orders dropdown. 

Create a Route

When you have selected your orders and are ready to create a route, click the Route Orders button. If building a manual route, you will be taken directly to the Route Optimization screen. If building an optimized route, you will confirm the following before arriving at the Route Optimization screen.

  • Your general warehouse info

  • Common carrier truck constraints

  • Fleet logistics & availability

Once the route is processed, you will arrive at the Route Optimization screen. Click each order tile on the left to have the route displayed on the map, and the schedule below. 

No manifests have been created yet, so you can still easily change the stop order, delete a stop, or run an entirely new optimization. The proposed routes minimize costs for all orders, don't violate ship rules, and are optimized for maximum efficiency.

Assign a Manifest

Once you are ready to commit a route to a manifest, click on the colored warehouse tile for that route in the route’s schedule below. Within the new window, click the Assign Manifest button. Give the manifest a description if you wish, and then click Confirm and Submit to finish. 

If the route has multiple runs where the driver is coming back to the warehouse to reload, click on each colored warehouse tile across the entire schedule and assign a manifest for each.

Until routes are finalized with a manifest assigned, they're not available to assign to drivers. Review our Planned Loads help article for more details on how to assign drivers.

Review all other routes, re-optimize as needed, and then commit all routes to manifests in the same way by clicking on the colored warehouse tile. Totals accrue in the top left, displaying the total cost, weight, time, fleet trucks used, and common carriers used in parenthesis.

When assigning the manifest, the dispatcher will have the option to change the Planned Ship Date, add a Description, select a Driver, and add Notes for the Driver. 

The Description is meant solely for the dispatcher. This description is added to the Planned Loads page for each route and can be used to quickly identify specific route names when looking at the Planned Loads page. The "Notes for Driver" field is a great way for the dispatcher to communicate with the drivers because the information the dispatcher writes in that field will be visible to the driver within the Delivery Documents of every stop they make in a route.

The manifest number will be added to the master route tile, and will now show in the Planned Loads section where you will assign drivers or bid out jobs to common carriers with Headlight Freight.
