Collect Proof of Delivery Documents

In addition to Headlight's dispatcher tools, the Driver App allows the driver to perform additional tasks by clicking on the orange Delivery Documents link in the Driver App tasks. 

Through this Delivery Documents link, drivers can confirm order quantities, view delivery instructions, add deposits or product returns, leave comments, and collect customer signatures.

Once collected, these PODs and photos will be permanently stored in Headlight as digital proof of delivery that the dispatcher can access from the Planned Loads and Delivery Status sections to any images or documents associated with that order.

You can also run a report in the Manage section of Headlight and download an entire date or date range worth of collected PODs and photos.

Tasks

When a driver logs into the Glympse En Route driver app, they will see any currently assigned route in the form of a list of Tasks for them to start and complete.

When the dispatcher assigns a route in Headlight, the route information will automatically appear in the New Task section so you can start your route. 

Starting a Route

To start a route, the driver will start with the first order in the New tab and then press the orange En Route button to begin their trip. 

As the driver makes their way to the stop, the dispatcher will be able to see live GPS updates in the Delivery Status section of Headlight. And if enabled for your location, customers will receive a notification email that their order is on its way with live GPS updates as well.

Arriving

When a driver arrives at the destination, the app will usually automatically detect the driver's arrival, but if needed, click the orange Mark Arrived button.

Order Documents

When ready to complete the order, first click the orange Delivery Documents Task Link text above the On-Site Actions button.

Do Not mark the job complete before collecting the proof of delivery docs. 

The Delivery Documents Task Link will allow you to confirm quantities, record returns, present disclosures, and collect customer signatures.

While you have been working in the hen you click the orange Delivery Documents Task Link, the proof of delivery documents will be loaded in your device’s web browser.

Confirm Quantities

On the first page, you will see any special Delivery Instructions, and to confirm the order quantities. 

Click into the quantity field to type in the amount if needed. To move on, click Confirm Quantities near the bottom of the app screen.

Returns

Next, if enabled for your warehouse, you will mark if there are any Deposit or Product returns and leave any comments about the order.

Deposit Returns

For Deposit Returns, click the Add button near the top right of the Deposit Returns sections. Select the Container type from the dropdown, specify the quantity, and then click the blue Add button.

Product Returns

For Product Returns, click the Add button near the top right of the Product Returns sections. Select the Product type from the dropdown, select the Container, and then specify the quantity. Once you have specified the quantity, the Total Volume estimated will be displayed.

If any of the product containers being returned are not full, you can adjust the Total Vol. field as needed. Once complete, click the blue Add button.

Click Next near the bottom of the app screen to finish and move on to collect the customer’s signature.

Customer Signature

The last step of this process is to collect the customer’s signature directly on your device. Once signed, click the Submit button to complete the proof of delivery documents.

Multiple Orders

If there are multiple orders to be delivered at the same time, each order will require the same process to be followed until all signatures have been collected.

Go Back to the Driver App

So far you have been completing the proof of delivery documents in your device’s web browser. We now need to navigate back to the Glympse En Route driver app.

Take a Photo

Once back in the Glympse En Route driver app, you can take any pictures of documents or products via the orange On-Site Actions button and select Take Photo. Your image will automatically be sent to Headlight and will be stored with the proof of delivery documents just completed.

Complete and Start a New Task

When you are ready to complete the stop, use this same orange On-Site Actions button and click Mark Completed.

Navigate back to the New Task section in the top left of your app, and repeat this process until all of the stops for the day are complete.
